Worker self-service

Workers sign in to their own view of VendOrca. They can read their profile, complete their onboarding steps, record time and expenses, and ask about their own records. They can't see anyone else's data or the admin console.

Getting started

A Program Admin invites the worker with the Worker role. The worker signs in with Google, or with a single-use sign-in link emailed to them. Their Program Admin then has VendOrca support link that sign-in to their worker record (see Worker and supplier sign-ins). Until the link is in place, their pages show a notice that the account isn't linked yet.

The worker nav has four items: Profile, Onboarding, Time and Agent access. The Ask VendOrca bar appears on every page.

Profile

Profile shows the worker's own record and is read-only.

  • Identity: display name, onboarding state, Work email and Engagement type (Requisition-based, Statement of work or Profile only), along with other details on their worker record.
  • Credentials: each with its name, type, any expiry date, and a status of Valid, Expires soon, Expired or No expiry date. The status is for information. It doesn't block anything.
  • Assignments: each with its date range and a status of Active or Ended.
  • Recent activity: the five newest entries in the worker's own history.

For any change, the worker asks their Program Admin.

My onboarding

Onboarding shows the worker's own checklist once staff have started onboarding. The Status section says where they stand. Each step shows what to do:

  • Acknowledge: records that the worker has read the step.
  • Mark complete with a Note: for an attestation.
  • Complete on your profile: the step depends on profile details, sometimes naming the fields.
  • No action needed: information only.
  • Handled by your administrator: staff complete it.

When every required step is done, the worker is ready for an assignment. If the workspace needs a staff confirmation, the status reads All required steps complete — awaiting confirmation and nothing more is needed from the worker. If no onboarding has started, the page says You have no onboarding in progress. Nothing is required of you right now. See Onboarding and offboarding.

Time and expenses

Time shows the timesheet for the current week, Monday to Sunday. Weeks change over at midnight Greenwich Mean Time (GMT), so in the Americas the new week starts on Sunday afternoon or evening. The worker starts the week's timesheet, logs each day with a quantity, an assignment and a pay code (Worked, Holiday or PTO), adds any expenses, and selects Submit for approval. The worker needs an active assignment before they can record time.

Each expense takes an assignment, a date, a category, an amount and a currency. Receipts can't be attached. Expenses are invoiced as their own lines, alongside the time.

A rejected timesheet for the current week shows Rejected — please correct and resubmit, and the worker can add entries or expenses to it and submit it again. The approver's comment isn't shown on Time, so the worker asks the approver what to change. If an entry that's already recorded is wrong, the worker tells their Program Admin, who can have VendOrca support correct it. See Time and expense.

Ask VendOrca and agent access

The Ask VendOrca bar answers questions about the worker's own records, such as their timesheets or assignments. It only reads. See Ask VendOrca.

If the workspace has agent access turned on, a worker can create an access key in their own name from Agent access and connect an AI assistant with it. The assistant reads only what the worker can see. See Connect an AI assistant.

Common questions

How does a worker update their profile?

Profile is read-only for workers. Changes go through their Program Admin.

Is there a mobile app?

VendOrca runs in the browser, including on phones, so there's nothing to install.
